Meeting Services Assistant

Job Title: Meeting Services Assistant
Location: Corporate Office – Plano, Texas
FLSA Status: Temporary, Non-Exempt

SUMMARY
This position is responsible for providing support for the Meeting Services Department in preparation for meetings or programs including hands-on assistance in planning activities, communication, and site set up and meeting coordination.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Establishes meeting database including set up, invitations, participant information and event reconciliation.
Prepares meeting collateral.
Compiling event reports for the meetings and events department.
Provides support to other meetings and programs as needed.
Other duties as assigned.

QUALIFICATIONS
Defined organizational skills.
Detail oriented.
Strong Microsoft Office skills.
Strong communication skills, both written and verbal.

EDUCATION and/or EXPERIENCE
Bachelor’s degree in Communications, Business, or Hospitality preferred or related work experience.

PHYSICAL DEMANDS
Flexibility to participate in overnight, out of state travel if requested to assist team on-site.
Must be able to lift up to 50 pounds.
Stooping, bending, squatting and kneeling.

Meeting Coordinator

Job Title: Meeting Coordinator

SUMMARY
This position is responsible for managing low to medium complexity meetings or programs including pre-meeting, on-site and post meeting requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Establishes meeting database including set up, invitations, participant information and event reconciliation.
Stays abreast of venues, market rates, and meeting planning execution best practices.
Responsible for working with meeting sites managing attendee participation.
Procures resources with vendors to execute meetings and programs.
Manages travel and contingency plans.
Provides support to other meetings and programs as needed.
Manages certain aspects of a program in conjunction with meeting planner.
Prepares meeting collateral.
Other duties as assigned.

QUALIFICATIONS
Ability to work long hours within a flexible work schedule.
Defined organizational skills.
Detail oriented.
Previous meeting or event coordination experience desired.
Strong Microsoft Office skills.
Strong communication skills, both written and verbal.
Travel – 20% to 50% of time.

EDUCATION and/or EXPERIENCE
Bachelor’s degree in Communications, Business, or Hospitality preferred.
One to three years prior experience in meeting planning.

Sales Coordinator

Job Title: Sales Coordinator

SUMMARY
We are looking for an experienced and well-organized Sales Coordinator to provide the necessary support to the sales team. The successful candidate will become a point of reference for internal stakeholders, vendors and customers alike.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Coordinate sales team by managing schedules, facilitating travel and communicating relevant information.
Assist with appointment setting and potential customer research.
Facilitate hotel RFPs for client meetings.
Ensure the adequacy of sales-related equipment or material.
Respond to inquiries from customers and give after-sales support when needed.
Store and sort data in electronic form and present reports.
Assist in the preparation and organizing of promotional material or events.
Provides oversight of vendors who support sales proposals.
May provide backup support for Director of Sales & Sales Managers.
Other duties as assigned.

QUALIFICATIONS
Knowledge of meetings and events industry – hotel preferred.
Prior experience managing key client relationships.
Ability to work long hours within a flexible work schedule.
Strong organizational skills and attention to detail.
Strong Microsoft Office skills.

Senior Meeting Manager

Job Title: Senior Meeting Manager
Location: Corporate Office – Plano, Texas

SUMMARY
This position is responsible for managing corporate meetings and events through the implementation of strategy, delivery of objectives and execution of logistics, while effectively working with clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Independently develops, plans, and executes a variety of meeting and events including complex, large volume, high level of confidentiality, and/or international scope.
Responsible for coordination of all meeting or program planning from post contract execution to final billing.
Completes meeting project timeline, establishing work flow schedule to facilitate accurate handling of all meeting or program details.
Builds, develops and executes customer relationships, including business reviews and other account management responsibilities.
Responsible for the training and development of managers, planners, and coordinators in effective meeting planning procedures.
Provides leadership to team and promotes positive team environment as a role model.
Mentors Meeting Managers, Planners and Coordinators showing best practice approaches.
Conducts quality assurance visits and/or peer reviews for team members meetings and programs.
Must possess working knowledge and expertise in open payment and EFPIA reporting.
Must stay abreast of individual standards and trends, including but not limited to, compliance requirements. Responsible for accurate program forecasting and system updates as needed.
Manages overall meeting budgets, reviews and audits program related billing for accuracy.
Provides management oversight and direction for all vendors who support planning and execution.
May provide backup support for Director of Operations.
Other duties as assigned.

QUALIFICATIONS
Strong knowledge of program/meeting management, including budget maintenance.
Extensive domestic destination knowledge required, international knowledge preferred.
Prior experience managing key client relationships.
Ability to work long hours within a flexible work schedule.
Strong organizational skills.
Detail oriented.
Strong negotiation skills.
Strong Microsoft Office skills.
Strong communication skills, both written and verbal.
Travel – 20% to 50% of time including weekend travel

EDUCATION and/or EXPERIENCE
Bachelor’s degree in Communications, Business, or Hospitality preferred.
Seven plus years’ experience in event or meeting management required.
CMP preferred.
