This position is responsible for providing support for the Meeting Services Department in preparation for meetings or programs and managing meetings of a low complexity including hands-on assistance in planning activities, pre, meeting, communication, and site set up and post meeting requirements.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Establishes meeting database including set up, invitations, participant information and event reconciliation.
  • Stays abreast of venues, market rates, and meeting planning execution best practices.
  • Responsible for working with meeting sites managing attendee participation.
  • Procures resources with vendors to execute meetings and programs.
  • Manages travel and contingency plans.
  • Independently develops, plans, and executes a variety of meetings from low to medium complexity.
  • Responsible for coordination of all meeting planning from post contract execution to final billing.
  • Completes meeting project timeline, establishing work flow schedule to facilitate accurate handling of all meeting details.
  • Effectively support the Meeting Managers throughout the meeting planning process that includes the contractual phase, the pre-meeting phase, the on-location phase, and the post-meeting phase.
  • Provides support to other meetings and programs as needed.

 

QUALIFICATIONS 

  • Strong knowledge of meeting management, including budget maintenance.
  • Extensive domestic destination knowledge required.
  • Ability to work long hours within a flexible work schedule.
  • Strong organizational skills.
  • Detail oriented.
  • Strong negotiation skills.
  • Strong Microsoft Office skills.
  • Strong communication skills, both written and verbal.

 

EDUCATION and/or EXPERIENCE

Bachelor’s degree in Communications, Business, or Hospitality preferred.  Approximately one year of prior experience in meeting planning.

 

PHYSICAL DEMANDS

  • Travel – 20% to 50% of time including weekend travel
  • Must be able to lift up to 50 pounds.
  • Stooping, bending, squatting and kneeling.
  • May be required to stand up to 100% of the time during meetings or programs.

This position is responsible for managing corporate meetings and events of medium to high complexity through the implementation of strategy, delivery of objectives and execution of logistics, while effectively working with clients.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Independently develops, plans, and executes a variety of meeting and events including medium to high complexity, high level of confidentiality, and/or international scope.
  • Responsible for coordination of all meeting or program planning from post contract execution to final billing.
  • Completes meeting project timeline, establishing work flow schedule to facilitate accurate handling of all meeting or program details.
  • Builds, develops and executes customer relationships, including business reviews and other account management responsibilities.
  • Provides leadership to team and promotes positive team environment as a role model.
  • Conducts quality assurance visits and/or peer reviews for team members meetings and programs.
  • Must possess working knowledge and expertise in open payment and EFPIA reporting.
  • Must stay abreast of individual standards and trends, including but not limited to, compliance requirements.Responsible for accurate program forecasting and system updates as needed.
  • Manages overall meeting budgets, reviews and audits program related billing for accuracy.
  • Other duties as assigned.

 

QUALIFICATIONS 

  • Strong knowledge of program/meeting management, including budget maintenance.
  • Extensive domestic destination knowledge required, international knowledge preferred.
  • Prior experience managing key client relationships.

EDUCATION and/or EXPERIENCE

This position is responsible for providing general administrative support for the Meeting Services Department by providing high quality customer service to internal and external clients, including data management and reporting.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Performs reconciliations of attendee reimbursements for accuracy, compliance, expense coding and policy adherence in a timely manner
  • Scan and file all completed expense report.
  • Communicate with internal customers and attendees to resolve expense issues and general questions.
  • Generate internal and external reporting as defined by management
  • Maintains downstream reporting in customer systems as required for general reporting and/or compliance.
  • Transfer data from paper forms into database systems or EXCEL spreadsheets
  • Create and complete HCP spend spreadsheet with large numbers of figures, with accuracy
  • Verify data by comparing it to source documents
  • Sort and organize paperwork after entering data
  • Prepare detailed statistical reports
  • Retrieve data from the database or EXCEL spreadsheets as requested
  • Investigate and resolve issues related to data tracking and HCP reporting
  • Compiling event reports for the meetings and events department.
  • Creation of cost savings reports
  • Attend weekly operations meetings
  • Minute-taking during all Operational meetings
